When you’re planning a group stay at an all-inclusive resort, hotel or other land-based destination, there are usually two ways to structure the booking. Cruise groups work differently, so this specifically applies to resort and land-based group travel. The right setup depends on your group size, how certain your headcount is, and whether flexibility or locked-in pricing and room inventory matter more.

What You Need to Know
Planning a trip for multiple people comes with questions about group rates, room and cabin blocks, payments, deadlines and keeping everyone organized. Here are answers to some of the questions I’m asked most often about planning group travel.
There isn’t one number that applies to every trip. Cruise lines, resorts, hotels and tour companies all have their own group requirements. Some group programs begin with a relatively small number of rooms or cabins, while others require a larger commitment. Tell me what you’re planning and approximately how many people you expect, and I’ll determine which group options make sense.
Group benefits depend on the supplier, destination, travel dates and number of rooms or cabins booked. Your group might qualify for special pricing, onboard credit, resort amenities, complimentary space or other extras. I’ll compare the group option with regular individual pricing so we know which gives your travelers the better value.
Usually no. Many group bookings allow us to secure a block of rooms or cabins and give travelers a deadline to reserve their space. The exact booking timeline depends on the supplier and contract. I’ll give your group clear deadlines so everyone knows when deposits, traveler information and final payments are due.
In many cases, yes. Travelers are often able to make their own deposits and payments toward their individual reservation while still being part of the group. The process varies by supplier, so I’ll explain exactly how payments will work before booking begins.
Earlier is usually better, especially if your group needs multiple rooms or cabins together, specific room categories, or popular travel dates. When possible, I recommend starting at least 12 months in advance so you have more options and your travelers have plenty of time to budget and make payments. Large groups, cruises, holiday travel, spring break, and peak-season resorts often need even more lead time.
Cancellation terms and group requirements vary by supplier. Some contracts allow the group size to change within certain deadlines, while others have minimum room or cabin commitments. Before you agree to anything, I’ll explain the deposit requirements, important dates and cancellation terms so you understand what applies to your specific group.
Organizing travel for multiple people gets complicated quickly. I work directly with the travel supplier, help manage the group space, keep track of deadlines and booking details, answer traveler questions, and help keep everyone on the same page. You get one person managing the travel side instead of becoming the travel agent for your own group.
For almost every group trip, no. In over five years of business, I haven’t charged a client a planning, group management or booking fee. Cruises, resorts, tours and straightforward vacation packages are typically fee-free. I only reserve the option to charge a planning fee for unusually complex custom trips or highly involved groups. If that ever applies, I’ll discuss it with you before any planning begins.
